How 1 Natural Way Saves 100 Hours a Week on Physician Fax Intake with Claude

Implementing AI has delivered a significant operational and financial impact for our department, generating approximately 20 hours of labor savings per day, or 100 hours per week, while reducing the cost per fax by 92%

The time saved can be redirected toward higher-priority patient and business needs, enabling our team to focus resources on areas that provide greater value. Overall, this represents a substantial improvement in operational efficiency, cost savings, and resource allocation.

Josie Tweedy
Provider Relations Manager, 1 Natural Way

1 Natural Way is a maternal health company based in Maumee, Ohio. It provides insurance-covered breast pumps, maternity support products, at-home lab tests, and clinical care services for pregnant and postpartum women, working with major insurers including Aetna, Anthem, Blue Cross Blue Shield, Cigna, Medicaid, TRICARE, and UnitedHealthcare. salesElement built an AI intake system on Anthropic’s Claude that processes the orders physicians send by fax every day and turns them into ready-to-process orders. 1 Natural Way reports about 100 hours of labor saved every week and a 92% lower cost per fax.

At a Glance

  • Customer: 1 Natural Way
  • Industry: Maternal health and medical equipment
  • Partner: salesElement
  • Claude models: Claude Haiku 4.5 and Claude Sonnet 5, with the platform built using Claude Code
  • Volume: hundreds of physician faxes a day
  • Result: about 20 hours of labor saved per day and a 92% lower cost per fax

The Challenge

Physicians’ offices send 1 Natural Way their orders by fax, and hundreds of them arrive every day. Every fax had to be opened, read, and entered by hand before the order could move forward. At that volume, fax intake took a large share of the team’s day and grew right along with the business, pulling people away from patient and provider work that needed them more.

The salesElement Approach

salesElement, which already builds and supports 1 Natural Way’s core business systems, designed an intake process on AWS with Claude at the center:

  • Claude processes incoming orders via fax and pulls out the details the team needs to move each order forward.
  • It works with 1 Natural Way’s CRM platform, so every order lands in the system the team already uses, keeping intake centralized and secure.
  • Patient information stays protected. The system runs on AWS with Business Associate Agreements in place.
  • People stay in charge. Staff review and confirm what Claude extracts instead of typing each fax in by hand.

Delivery and Adoption

salesElement delivered the system into 1 Natural Way’s daily operations, connected to the CRM the team already works in. The team now spends its time reviewing results and on the orders and providers that need attention, instead of on data entry.

Results

  • About 20 hours of labor saved per day, or 100 hours per week, as reported by 1 Natural Way.
  • 92% lower cost per fax.
  • Hundreds of physician faxes a day, reviewed instead of retyped.
  • Staff time has moved to higher-priority work: patient and business needs that provide greater value.

Put Claude to Work on Your Intake

If your team spends hours every day reading faxes, forms, or other incoming documents and typing them into your systems, salesElement can design and build a Claude-powered intake process around the way your team already works. Call salesElement at 646.837.0767 to talk it through.

How Symphony Risk Cut Insurance Review Staff Costs by Over 80% with Claude

Implementing this technology has transformed how we review insurance policies, contracts, and leases.

The platform summarizes coverage and limits, extracts contractual insurance requirements, and compares those requirements against the coverage that is in place, whether there are a handful of contracts or hundreds. A manual process that would take hours can now be accomplished in a fraction of the time while requiring the user to verify the accuracy of its findings.

The efficiency gained reduces our staff cost for these two tasks by over 80% and gives our team additional time to focus on identifying coverage gaps, advising clients, and addressing higher-value risk management needs.

Josh Warren
President, Symphony Transact

Symphony Risk is a full-service insurance brokerage, risk management advisory, and employee benefits consulting firm. It serves middle market and lower Fortune 500 businesses, private equity firms, alternative asset managers, and high-net-worth families. salesElement designed and built an AI coverage review platform on Anthropic’s Claude for Symphony Risk. The platform reads insurance policies and contracts, extracts each contract’s insurance requirements, and flags where coverage falls short. Symphony Risk reports that the platform has cut its staff cost for these reviews by more than 80%.

At a Glance

  • Customer: Symphony Risk
  • Industry: Insurance brokerage and risk management
  • Partner: salesElement
  • Claude models: Claude Haiku 4.5, Claude Sonnet 5, and Claude Fable 5.1, with the platform built using Claude Code
  • Timeline: about four weeks from approved wireframe to working system
  • Result: over 80% lower staff cost for policy summaries and contract requirement reviews

The Challenge

For its private equity clients, Symphony Risk has to confirm that a portfolio company’s insurance actually meets what its contracts require. A single engagement can include dozens of policies and hundreds of contracts, leases, and agreements. Each contract has its own insurance clause, for example a $5 million cyber limit, $10 million in general liability, or specific endorsements and deductibles.

The policies arrive as long PDFs. Some run past 200 pages, and many bundle several coverages into one package. Doing the review by hand took hours per engagement. Staff read every document, re-keyed limits into spreadsheets, and checked every requirement against every policy. The work was slow and expensive, and it did not scale when a deal brought in hundreds of contracts at once.

The salesElement Approach

salesElement started with a clickable wireframe, which the Symphony Risk team approved. It then built the full platform on Microsoft Azure, with Claude reading the documents:

  • Claude reads every policy and contract and turns it into structured data: coverages, limits, deductibles, and each contract’s insurance requirements.
  • Each requirement is checked against the coverage in place and marked Covered, Review, or Gap.
  • People stay in charge. Reviewers verify and sign off on every finding, and every change is kept in an audit history.

salesElement used Claude Code for the whole build and went from approved wireframe to a working system in about four weeks.

Delivery and Adoption

salesElement tested the platform on Symphony Risk’s own policies and contracts and refined it based on the team’s feedback. The output follows Symphony Risk’s templates, so it goes straight into client deliverables. The team now runs its policy summaries and contract requirement reviews through the platform, whether a deal has a handful of contracts or hundreds.

Results

  • Over 80% lower staff cost for policy review and contract insurance requirement review, as reported by Symphony Risk.
  • Hours of manual work now takes a fraction of the time.
  • Handles engagements of any size, from a handful of contracts to hundreds.
  • Every requirement is marked Covered, Review, or Gap, and a person verifies each finding.
  • Staff time has moved to higher-value work: finding coverage gaps, advising clients, and handling broader risk management needs.
